B - The general goal

Medium-Activity Document Management aims to take care of documents in their second stage (medium-activity), when they are transferred from the organizational units in which they originated to the documents and archives center in the agency.

C - Tasks

  • Supervising the departments associated with them and ensuring that they perform their work in receiving and receiving documents from the departments and branches of the agency according to the instructions regulating that.

  • Supervising the selection of subject headings for disclosed documents according to the list of subject headings approved by the documents and archives center.

  • Supervising the preparation of documents intended for electronic scanning and transferring them to the electronic scanning unit.

  • Supervising the organization and preservation of work papers and records

  • Providing the Document Organization Department with proposals and ideas related to evaluation processes and classification and coding guides, which are produced through practical application.

  • Supervising the preparation of documents, scanning them electronically, and transferring them to the archiving unit

  • Participation in destruction and deportation committees

  • Follow up on the work of reviewing and auditing the indexing, scanning, indexing and classification operations that take place on documents

  • Ensuring the accuracy of data and documents and their conformity with classification and coding guides and indexing rules

  • Completing deficiencies and addressing observations in coordination with the relevant and relevant departments, sections and units

  • Determine the administration’s needs for manpower, equipment, and materials

  • Providing periodic reports about the administration’s achievements and appropriate suggestions for developing them

The Cataloging and Indexing Department is associated with moderately active document management.

B - The general goal

The Indexing and Cataloging Department aims to analyze documents descriptively and objectively, scan them, and enter their data into the database in accordance with the provisions contained in the Documents and Archives System and its executive regulations, classification plan, rules and procedures, and lists of approved subject headings.

C - Tasks

  • Receiving and recipience documents from the departments and branches of the agency according to the instructions regulating this

  • Identifying documents prepared for indexing

  • Defining the concepts and topics that the documents address

  • Selecting subject headings for disclosed documents according to the list of subject headings approved by the center

  • Entering document data into the center’s database

  • Entering data on the duration of document storage in the database

  • Review and correct data of documents entered into the database

  • Preparing documents prepared for electronic scanning and transferring them to the electronic scanning unit

  • Organizing and preserving work papers and records

  • Providing the Document Organization Department with proposals and ideas related to evaluation processes and classification and coding guides, which are produced through practical application.

  • Any other task assigned to the department in its field of competence


2-Scanning Department

The scanning department is associated with moderately active document management

B - The general goal

The Scanning Department aims to scan documents electronically and enter their data into the database in accordance with the provisions contained in the Documents and Archives System and its executive regulations, classification plan, rules and procedures, and lists of approved subject headings.

C - Tasks

  • Preparing and scanning documents electronically

  • Transferring scanned documents electronically to the archiving unit

  • Organizing and preserving work papers and records

  • Participation in destruction and deportation committees

  • Any other task assigned to the department in its field of competence


3-Audit and Review Department

A - Organizational relevance

The Audit and Review Department is linked to the Medium-Activity Document Department

B - The general goal

The Audit and Review Department aims to ensure the quality of scanning, indexing, and classification in accordance with the provisions contained in the Documents and Archives System and its executive regulations, the classification plan, rules and procedures, and lists of approved subject headings.

C - Tasks

  • Reviewing and auditing the indexing, scanning, indexing and classification operations carried out on documents

  • Ensuring the accuracy of data and documents and their conformity with classification and coding guides and indexing rules

  • Completing the shortcomings and addressing the observations in coordination with the relevant departments, sections and units
