B - The General Goal
The Permanent Documents Department aims to take care of documents that are in their third stage of their life (permanent) in accordance with the documents and archives system and its executive regulations, classification plan, rules and procedures, and lists of approved subject headings.

C - Tasks
- Supervising the departments associated with them and ensuring that they perform their work in receiving and receiving documents from the departments and branches of the agency in accordance with the instructions regulating that.
- Supervising the preparation of permanent storage places and equipping them with the necessary shelves, cabinets and safety devices
- Supervising the processing and transfer of permanently preserved documents to the National Center for Documents and Archives after the end of their preservation period at the Center in accordance with the approved rules and procedures.
- Supervising the destruction of temporary documents for preservation after the expiry of the period of time specified for their preservation, destruction and deportation
- Follow up on the technical coordination of the tasks of the Permanent Documents Committee and the evaluation, destruction and deportation committees
- Supervising the provision of the agency’s departments, divisions and units with copies of old documents when needed in accordance with the approved rules and procedures
- Follow up on the return of loaned documents to their storage places in accordance with the approved rules and procedures
- Working to enable beneficiaries from outside the agency to view or circulate documents in accordance with the approved rules and procedures
- Supervising the transfer of permanently archived documents to the National Center for Documents and Archives
- Ensuring the validity, accuracy and completeness of the data submitted to the National Center for Documents and Archives regarding the agency’s documents
- Determine the administration’s needs for manpower, equipment, and materials
- Providing periodic reports about the administration’s achievements and appropriate suggestions for developing them
- Any other task assigned to it in its field of competence
1- Document Preservation Department
A- Organizational relevance
The Document Preservation Section is linked to the Permanent Documents Department
B - The general goal
The Document Preservation Department aims to preserve documents and maintain their integrity in accordance with the provisions contained in the Documents and Archives System and its executive regulations, classification plan, rules and procedures, and lists of approved subject headings.
C - Tasks
- Preparing active and inactive storage places and equipping them with the necessary shelves, cabinets and safety devices
- Preserving active and inactive documents by following the best security methods and safety rules
- Preparing and transferring permanent documents to the National Center for Documents and Archives after the end of their preservation period at the Center in accordance with the approved rules and procedures.
- Save deportation data and records
- Destroying temporary documents for preservation after the expiry of the time period specified for their preservation in accordance with the approved rules and procedures
- Save destruction data and records
- Technical coordination of the tasks of the Permanent Documents Committee and the evaluation, destruction and deportation committees
- Preparing and providing statistical data related to deportation and destruction
- Any other task assigned to the department in its field of competence
2-Customers Services Department
A - Organizational relevance
The Customers Services Department is linked to the Permanent Documents Department
B - The general goal
The Customers Services Section aims to provide services to customers from inside and outside the agency in accordance with the provisions contained in the documents and archives system and its executive regulations, the classification plan, rules and procedures, and the approved lists of subject headings.
C - Tasks
- Answering questions and inquiries about the archived documents
- Providing the agency’s departments, divisions and units with copies of old documents when needed in accordance with the approved rules and procedures
- Lending originals or copies of documents to departments, sections and units in accordance with the approved rules and procedures
- Follow up on the return of loaned documents to their storage places in accordance with the approved rules and procedures
- Enabling customers outside the agency to view or circulate documents in accordance with the approved rules and procedures
- Organizing and preserving work papers and records
- Preparing statistical reports related to daily and monthly Customers services
- Any other task assigned to the department in its field of competence
3- Coordination Department

The Coordination Section is linked to the Permanent Documents Department
B - The general goal
It aims to coordinate and cooperate with the National Center for Documents and Archives in accordance with the provisions contained in the Documents and Archives System and its executive regulations, the classification plan, rules and procedures, and lists of approved subject headings.
C - Tasks
- Transferring permanently archived documents to the National Center for Documents and Archives
- Ensure the validity, accuracy and completeness of the data submitted to the National Center for Documents and Archives regarding the agency’s documents
- Providing the National Center for Documents and Archives with registration and delivery data for bags of destroyed papers in the agency’s departments and divisions.
- Exchanging information and experiences with the National Center for Documents and Archives
- Representing the agency before the National Center for Documents and Archives
- Any other task assigned to the department in its field of competence
